It’s very simple. You choose your activities from the menu, confirm your numbers, whether you’d like a food box and dietary requirements and then we take over with the planning, running all operational plans by you first for sign off. Any amends after sign off are liable to extra charges for immediate payment before your event.

Can we interact with our colleagues at the event?2021-01-21T14:03:43+00:00

Yes you can and the good news is, it’s really straight forward.

You can message and discuss the activities by using the text box chat icon at the foot of the screen and there are emoji reaction buttons available too.

If you’d like to see your colleagues face-to-face then visit the Bar where your find video chat at the tables. You can join existing tables or set up your own. Invite friends though the search tool and send them notifications to request them to join your table.

 

If we want to add an awards show, can you oversee this?2021-01-18T18:23:05+00:00

Our live events experience will allow us to oversee this for you – we’d work with you on the finer detail: Your awards structure, music stings, audio visual equipment etc and choreograph this for you.

NB management, crew fees & audio-visual fees will apply.

Can we add our branding?2021-01-21T12:06:52+00:00

Absolutely. The venue can include your branding and logo on our welcome board as well as on presentation & notification slides during the event. High resolution logos (EPS, Vector or PDF) will be required. You can also send a video welcome speech by your MD or equivalent (suggested time 2 minutes) in 16:9 ratio at least three working days before your event.

All branding requirements must be made in writing at least 2 weeks before your event.

When will I receive my food box?2021-01-18T18:24:51+00:00

Each box will be sent to your homes 2-3 days before your event so a complete spreadsheet (name/full address/contact number) will be required at least 3 weeks before your event (GDPR compliant and only used for delivery purposes). Each box will contain a full set of printed instructions so please read and refrigerate all ingredients as soon as possible and take note of party timings.

What happens if my box doesn’t arrive?2021-01-21T12:03:59+00:00

Our caterers must be notified in writing by 9am two days before the event and we will follow up with our chosen courier, and then take appropriate action so you are not left empty handed. Couriers will inform you of delivery status via email. Providing your mobile number will enable the courier to reach you if they are having any problems.

The minimum number is 30 pax unless your budget allows for greater flexibility as minimum spend starts at £5,000 +VAT.

Do I need to use any specific equipment to access the virtual event?2021-01-18T18:27:15+00:00

You don’t need to download any specific equipment but please ensure your laptop or desktop has access to a camera and Google Chrome as well as having Zoom installed. Please access the event from the Chrome web browser. The platform will not work with a phone or tablet.

What happens if my shortlisted acts are unavailable?2021-01-18T18:28:08+00:00

Once you have confirmed the booking of your event we advise you to confirm your entertainment as soon as possible. If however there is a delay and your preferred act is no longer available, we will use all reasonable endeavours to find a similar replacement at the same price. If this cannot be achieved and additional costs apply, we will let you know immediately and you can either pay any additional fees or choose an alternative act from the options available.

We recommend between 90 and 120 minutes for activities and engagement with your colleagues.

Are there instructions of how the tech works?2021-01-21T12:10:59+00:00

Absolutely. A PDF containing simple tech instructions can either be emailed before your event or printed and contained with your box of health goodies (and just to be on the safe side it can be sent by both methods if you wish!).

On the day of the event an exclusive password will be sent to you to circulate, allowing your guest access to your virtual venue. We also have an onsite tech team ready to assist if you are having any difficulties gaining entry to the site or rooms during the event.

What happens when I arrive at the venue?2021-01-21T12:15:56+00:00

The first thing you will experience is a welcome film from your MD (if provided) who will explain what to expect or any other message you’d like to include.

We will also post a slide confirming your schedule of activities and there will be notifications alerting everyone when a new activity is due to start. There are also icons at the foot of the screen which remind you of what activities are happening in each room.

As well as the activities within each room, you are free to use the chat boxes on screen to connect with your colleagues or, even better, you can arrange to meet at a table at the virtual bar for video chat.
