Event & Sales Coordinator

You will help work on operations and logistics for Evolve Events and our venue, Kent House Knightsbridge, running a mixture of different sized corporate events, brand days, private parties and weddings for high profile clients.

Your role will focus on planning and executing exciting and effective events. You will build relationships with existing and prospective clients, understanding their needs to exceed their expectations. You will ensure everything is in place for their event to run successfully, as well as managing relationships with suppliers to deliver cost-effective and high-quality, creative solutions.

Annual Salary £22k to £25k subject to experience.

Desired Skills and Experience

  • Minimum 1 years’ experience with event agency/ event catering/ venue management
  • Good knowledge of London venues and suppliers preferred
  • Excellent leadership and delegation experience
  • Excellent written and verbal communication skills
  • Strong budget and financial management
  • Highly organised with meticulous planning
  • Self-motivated and proactive
  • Problem-solving skills
  • Team player and outgoing personality

Responsibilities

Evolve Bespoke

  • Venue sourcing & preparing client proposals to budget
  • Develop creative content on events & project manage through to delivery
  • Deliver specific timelines to ensure regular client communication & event status updates
  • Source, contract and supervise all suppliers on events including the Caterers, production, styling, floristry, entertainment etc
  • Prepare logistical documentation (event sheets) for all events including updates scheduling, suppliers, contact details
  • Manage all billing on behalf of the client, liaising with Bookkeeper and Managing Director
  • Ongoing budget management & profit analysis
  • Liaise with venues on all logistics & health & safety requirements
  • On the day operational event management plus client interfacing
  • Prepare post event appraisals & profit analysis
  • Post-event client follow-ups for event feedback and future business opportunities

Venue Management – Kent House Knightsbridge

  • Venue showrounds, client liaison and preparing event proposals to budget
  • Conduct client and contractor site meetings
  • Liaise with internal venue staff on all event logistics, health and safety practices
  • Attend monthly status meetings with key internal venue staff regarding current events activity & marketing focus
  • Source, contract and supervise all suppliers on events including the caterers, production, styling, floristry, entertainment etc
  • Liaise with accredited and non-accredited contractors on all event logistics and health and safety practices
  • Develop and review on an ongoing basis contractor operational documentation specific to the venue
  • Prepare logistical documentation (event sheets) for all events including updates scheduling, suppliers, contact details
  • Ongoing budget management & profit analysis
  • On the day operational management to co-ordinate all operations, contractor activity & client interfacing
  • Post-event appraisals & profit analysis
  • Post-event client follow-ups for event feedback and future business opportunities
  • Annual Inventory checks of all equipment/accessories (updating inventory forms)

Sales

  • Assist Sales Manager on all live enquiries providing quotations within 12-24 hours
  • Update Company CRM system with live leads and enquiries
  • Book showrounds and oversee site visits at Kent House Knightsbridge with Sales Manager
  • Attend Networking Events with Evolve team
